Free your team from spreadsheets with Mapistry's smart data uploader.
Watch this video to see how:
💡NOTE: Data upload is not available on the mobile app.
Choose the Destination Log
From the Logs page, click on the name of the log to which you’d like to upload data.
Now click on 'Add Log Data'. Here, you’ll be able to choose between uploading data manually or uploading a file.
💡 You can also click on the log from the Compliance Calendar, then click "Add New Entry." This will make a Log entry on the Calendar date selected.
Adding Data Manually
Clicking on ‘Add Manually’ will open a pop-up where you can fill in your log values. Note that the Log Date defaults to your current date and time, but you can edit it to enter past records.
💡This way is best for entering a handful of records.
💡The log fields visible here were created in the process of setting up your log. For more information on how to create or edit a log, click here.
Once your data has been saved, you’ll be able to see the new record within the Records tab of the Log.
💡To upload more than one record at a time, use the Upload File button instead!
Uploading Data From A Spreadsheet: Smart Upload
There are two ways to upload a file: smart upload or manual upload. Smart upload brings in the whole spreadsheet, and auto-matches your columns to those in the Log.
💡Don't stress over cleaning up your original spreadsheet. Just try smart upload first! If it's not working for your use case, then try manual upload.
After clicking on ‘Add Log Data’, click on ‘Upload File.’
The pop-up window shows two option: 'Upload file' for smart upload, and 'manually enter data' for manual upload. In this case, choose 'Upload file'.
You'll be prompted to select a file to upload from your File Explorer or Finder. The accepted formats are .csv, .tsv, .xls, .xlsx, .xml, and .txt.
💡 Note 1: Your spreadsheet file should have a header row. If your sheet has no header row, the first row of data will become the header and will not be included in the uploaded data.
💡 Note 2: You can upload up to 200 rows at a time. Let us know if that impacts you.
The smart upload will help you match your existing column names to the destination fields in your Mapistry Log. Irrelevant columns can go unmatched, but make sure all columns you need are matched. Click 'Continue'.
💡 Tip: You can preview what the data will look like by hovering over the different fields.
The Smart Upload will automatically clean-up any date, time, number, boolean, and single select formats.
You’ll also be able to see if there are any errors in your data. Cells with errors appear red, and are filtered when you click the red 'Invalid' button.
💡Tip: You can only submit your data once all errors are resolved!
When you're satisfied, click 'Submit'. Your data will then be visible under ‘Records.’
Uploading Data From A Spreadsheet: Manual Upload
There are two ways to upload from a spreadsheet: smart upload or manual upload. Manual upload is best for:
- Copying and pasting your data into Mapistry
- Entering data from multiple sources
- Original spreadsheets with lots of irrelevant data you don't want to upload
- When your columns are already matched to those in the Log
First click 'Manually enter data'.
The Mapistry Log's existing columns will appear.
You can enter values like a regular spreadsheet, or copy and paste in data from another source.
The same auto-formatting and error checking processes apply for manual upload.
💡Tip: You can only submit your data once all errors are resolved!
When you're satisfied, click 'Submit'. Your data will then be visible under ‘Records.’
💡 Note: You can upload up to 200 rows at a time. Let us know if that impacts you.
File Upload Advanced Features
Both variations of file upload have advanced features that make editing your data a breeze.
From the three dots button on any column you can:
- Replace empty values - a great way to fill in empty unit columns 💡.
- You can find and replace records within a column.
- And you can filter columns by value.
- You can also sort columns, search in this field, and pin a column for viewing,
Filtering Records By Date
Once your log records are uploaded, you can filter them by date. Click 'Filter Date Range ' to view log data from the specific date range.
Choose your date range and click 'Filter'.
